Congress Special Events at Pacifichem 2010

Congress special events will include an opening ceremony, scheduled to be held in the Sheraton Waikiki Hotel on Wednesday, December 15. It will be followed by the Pacifichem 2010 Lecture, which will be given by Dr. Paul Corkum, head of the University of Ottawa’s new Laboratory for Attosecond Research. The Congress Mixer, open to all delegates, will take place immediately afterwards in the Sheraton and Royal Hawaiian Lawns. The student poster competition will be held on Thursday, Dec. 16, from 12:00 noon – 2:00 pm at the Hawaii Convention Center.

Organizer Special Events at Pacifichem 2010

Pacifichem Organizers who would like to schedule special events or food and beverage services during Pacifichem 2010 [i.e. breakfast; receptions, dinners; or any other types of events] must complete the Request for Special Meetings or Events form. Menus for the Hawaii Convention Center, the Hilton Hawaiian Village, the Sheraton Waikiki, and the Waikiki Marriott are listed below to help budget for the events..

Meeting space for special events is limited and will be assigned on a “first come, first serve” basis. It is therefore in the organizers' best interest to send in the Request Form early. The Pacifichem 2010 Organizers will attempt to reserve the appropriate space for your event in your preferred facility. After meeting-room assignments have been made and you have been notified of your location, you will be contacted about menus and other specific arrangements. Pacifichem 2010 will not prepay for the events. Payments by the organizers can be made onsite by credit card, check, or cash.

Refreshments for the Technical Sessions

Pacifichem Organizers who would like to schedule refreshments [i.e. coffee, continental breakfasts, sodas, etc.] associated with the technical sessions must complete the Request for Special Meetings or Events form. Pacifichem 2010 congress management will pass your food & beverage requests on to the facility staff banquet manager who will then work with you in setting up the service.

The organizers who order a refreshment service will need to :
      • Communicate with the facility banquet manager to finalize the arrangements
      • Confirm and guarantee the attendance with the banquest manager
      • Pay any deposits and/or invoices directly to the facility

Social Events

Pacifichem Organizers who would like to schedule social events [e.g. social hours, breakfasts, luncheons, dinners, etc.] must complete the Request for Special Meetings or Events form.

1. Organizer-Hosted Social Events held at official Pacifichem properties

Pacifichem 2010 congress management will pass your social event request on to the facility staff banquet manager who will then work with you in setting up the event. Pacifichem 2010 will also publicize the event on the Pacifichem web site and the program book, if indicated on the form.

The organizers who order a social event will need to :
      • Communicate with the facility banquet manager to finalize the arrangements
      • Confirm and guarantee the attendance with the banquest manager
      • Pay any deposits and/or invoices directly to the facility

2. Organizer-Sponsored Ticketed Social Events held at official Pacifichem properties

Pacifichem 2010 congress management will:
      • Assign your ticketed event to a room at an official Pacifichem property as requested on the form
      • Pass the request on to the facility staff banquet manager who will then work with you in setting up the ticketed event.
      • Include your event and price in the pacifichem registration
      • Give you your final attendee list, counts and revenue, based on the ticket registration sales.
      • Publicize the event on the Pacifichem web site and the program book, if indicated on the form.

Social event tickets will be sold via online registration until Friday, December 3, 2010. After December 3, you may continue to offer tickets for sale through on-site registration up to 24 hours before your event, or you can exclusively sell your own tickets at the door. No refunds will be issued for social event ticket cancellations after December 3, 2010, including sales made on-site at the meeting.

The organizers who order a ticketed event will need to :
      • Communicate with the facility banquet manager to finalize the arrangements
      • Confirm and guarantee the attendance with the banquest manager
      • Pay any deposits and/or invoices directly to the facility

3. Host-Arranged Social Events held at offsite locations of the host’s choice (such as a restaurant)

Pacifichem Organizers who wish to arrange social events outside of the Pacifichem 2010 official properties may do so directly with the facility.

The organizers will need to :
      • Make the arrangements directly with the selected facility
      • Confirm and guarantee the attendance with the banquest manager
      • Pay any deposits and/or invoices directly to the facility
    • Submit a request for publicity in the meeting programs or to sell tickets to the event by submitting the Request for Special Meetings or Events form.

It is recommended that you check the guarantee requirements carefully, set a realistic minimum guarantee, and note the refund policy on any deposit required before you sign any facility agreements.
